Royal Bank of Canada (RBC), including all of our subsidiaries, is committed to safeguarding personal information and to using it responsibly. This Privacy Policy describes how your personal information is collected, used, and shared when you use the RBC Workplace app.
For a better experience, while using the RBC Workplace app we may collect certain personally identifiable information. The information that is collected will be retained by RBC and used as described in this privacy policy and in accordance with the RBC Employee Privacy Notice (also available through the Global Privacy Office page of RBCnet). Data will be anonymized whenever possible. Access to the data for purposes listed outside of this policy must be approved by the Chief Privacy Officer and the HR VP for the area from which the request has been submitted.
The RBC Workplace app uses data from a number of different sources, each of which collects different types of data. The list below summarizes each of the systems and the type of data collected. Each system, including the RBC Workplace app, has been assessed by RBC’s privacy team and is in compliance with company policies.
The Vergesense system uses occupancy sensors that detect when a space is in use. This sensor used on various space types including but not limited to: desks, meeting rooms, and collaboration spaces. The data collected by this system includes:
The HID system enables the mobile devices to communicate with the security access at turnstiles or doors. Data collected through the mobile app is limited to technical information related to the device, such as log data. Additional information is captured by RBC’s C-cure system.
Meeting room data from Microsoft Exchange is used to display the availability of meeting rooms. The data collected from this system includes:
Manhattan Space provides information of the floor plans used to create the live space view. The data collected from this system includes:
The App collects data from your standard mobile health applications, such as the Apple Health app or Android Health app, enabling you to track your fitness and wellness goals. You can view the step count and calories burnt only if this feature has been configured for RBC employees, you have activated this feature within the app, and explicitly consented to the collection and processing of your data.
We want to inform you that whenever you use the RBC Workplace app, in case of an error in the app we collect data and information on your phone called Log Data. This Log Data may include information such as your device Internet Protocol (“IP”) address, device name, operating system version, the configuration of the app when utilizing our Service, the time and date of your use of the Service, and other statistics.
RBC’s Corporate Real Estate team will be using the data collected by the RBC Workplace app to report on KPI’s related to the office space. This data will be anonymized. As an example, how much a space is being used may be measured, not how much a specific individual is using the space.
Data retention is in line with the RBC’s standard retention policy of 7 years.
The RBC Workplace app integrates data from a number of different sub systems. Many of these are cloud hosted through a 3rd party vendor, including the RBC Workplace app. Each of the vendor’s policies on privacy has been assessed through the RBC SRMA process and in house privacy team. RBC data is not permitted to be used by these vendors for any purpose other than those specified by RBC. Additionally, the vendors are not able to share RBC data with any their affiliates or other 3rd parties.
The RBC Workplace app team my share data with an external party for analytic purposes, or other services related to the delivery and support of the RBC Workplace app. These parties will be subject to RBC enterprise policies on data privacy.

These Services do not address anyone under the age of 13. We do not knowingly collect personally identifiable information from children under 13. In the case we discover that a child under 13 has provided us with personal information, we immediately delete this from our servers. If you are a parent or guardian and you are aware that your child has provided us with personal information, please contact us so that we will be able to do necessary actions.
We may update our Privacy Policy from time to time. Thus, you are advised to review this page periodically for any changes. We will notify you of any changes by posting the new Privacy Policy on this page. These changes are effective immediately after they are posted on this page.
